How Do Freelancers Track Proposals They've Sent?

By LeadLab Team May 01, 2026 2 min read Updated for India

The simplest proposal tracking system for freelancers: log every proposal in a CRM as soon as you send it, set a 3-day follow-up reminder, and move the deal through stages (Proposal Sent → Follow-Up 1 → Follow-Up 2 → Closed) until it is won or lost. Most freelancers track proposals in their email Sent folder and wonder why they are only closing 1 in 5.

A proposal you send without a follow-up system has a 20% close rate. The same proposal, followed up 3 times at the right intervals, has a 40–50% close rate. Same quality of work. Same price. The only variable is the follow-up infrastructure.

The Proposal Graveyard

Every freelancer has one. The proposals you sent in October that you think about in December — "I wonder whatever happened with that one." You never followed up properly. They probably hired someone else. Not because you were more expensive or less talented. Because you disappeared.

The solution is boring and effective: a stage in your pipeline called "Proposal Sent" with a 3-day follow-up reminder attached to every entry. When the reminder fires, you have the proposal details, the client context, and the follow-up prompt right there.

What to Say in Proposal Follow-Ups (Templates)

Follow-up 1 (Day 3): "Hi [Name], just checking if you had a chance to look through the proposal. Happy to answer any questions or adjust the scope if needed."

Follow-up 2 (Day 7): "Hi [Name] — I have a project slot opening up next [week/month] that would be a perfect fit for this. Wanted to make sure you had what you need to decide before it fills."

Follow-up 3 (Day 14): "Hi [Name], I'll close this one out from my end — no worries if the timing isn't right. If things change, feel free to ping me."

The third message closes the loop and often triggers a "sorry, we've been swamped, let's connect this week" reply.

The System Behind the Templates

These follow-ups only work if you have a system that tells you exactly when to send each one. In LeadLab, every proposal gets logged as a deal with a follow-up date. The dashboard shows your "Proposal Sent" pipeline. Overdue follow-ups surface automatically.
